What Triggers File Processing

Your TC will begin processing your file as soon as all three of the following are received.

Complete the Intake Form

Submit the appropriate form for your transaction type. It takes less than 3 minutes and includes the key details we need to open your file immediately.

Provide Document Access

Share access to all documents currently available — via email or by granting TC access to your transaction platform (DotLoop, Command, SkySlope, or similar).

Provide Contact Information

Name, email, and role for all relevant parties — lender, title, co-op agent, and your clients. This is the minimum requirement to begin processing.

Processing Times

“Processed” means your file has been opened, reviewed and applicable tasks initiated — some tasks may be completed within that window while others may take longer depending on scope and current file activity.

Agent Responsibilities

Complete the Intake Form
Complete the appropriate form on the website using your access code when submitting a new transaction. It should take less than 3 minutes to complete.
Honor Our Communications System & Process
Follow our agreed-upon communication standards when requesting any work on a file. See the Communication Standards section below.
FIGHT FOR YOUR CLIENT
The agent handles all negotiations. This is your domain, your expertise, and your relationship — we support, you lead.
Own Sense of Urgency
2-hour response time standard applies during standard business hours. This is an acknowledgment standard, not a turnaround or completion time. The Client retains the right to communicate urgency if something is needed sooner or outside of standard business hours.
Know Your Legal Requirements
Our TCs are NOT your compliance manager, broker, or attorney. It is assumed that agents know what is required for a legal and binding contract per national, state, and local laws.

Timeline & Deadline Management
We track dates, deadlines, and contingencies and flag items that require your attention.
Communication with All Parties
We handle outbound communication with lender, title, and co-op agent to keep the transaction moving forward.
Document Management & Compliance
We manage document collection, compliance uploads, and broker submission to keep your files organized and on track.
Scheduling (As Directed by You)
We coordinate all scheduling — inspections, closings, and walkthroughs — as directed by you. All scheduling decisions remain in your hands.
MLS Input & Updates
We manage MLS input and updates from listing to closed.

How We Work Together

Communication Standards

These standards exist to protect your files, ensure compliance, and allow our team to deliver the highest level of service to every agent we partner with.

📧 File Action Requests — Email Only

All requests for actions to be taken on a file must be made via email at support@fasttracktransactions.com so that every request can be properly documented and has a paper trail for compliance purposes.

We are happy to take and receive information via text or calls for informational purposes only — but all requested actions to be taken on a file will only be triggered and acted upon via an email request.

📞 Voicemail & Call Protocol

When calling each other, it is assumed that we may get voicemail. We agree to be prepared to leave a voicemail with either:

Actionable information
— enough detail for the receiver to perform any needed task (remembering that requested actions are only triggered via email)
Enough information to end the conversation
— so neither party needs a callback just to clarify the purpose of the call

We agree that we will not call or text each other with anything that closely resembles "Call Me."

💛 The GRACE Response

If we receive any calls, texts, or emails that do not provide actionable information — such as something resembling "call me" — that is okay. We have GRACE built into our systems.

Here is what GRACE looks like in practice. We have a simple text and email template that will respond with:

"Thank you for reaching out, and we look forward to doing all that we can to help provide leverage for you. Please reply back with any ACTIONABLE INFORMATION as soon as you are available to do so, so that we can ensure that you are receiving the leverage that you need."

⏰ Hours & Response Times

Business hours:
Monday–Saturday, 9:00 AM to 6:00 PM Central Standard Time. Closed Sunday.
Same-day processing:
All items and requests received by 5:00 PM (Mon–Sat) will be processed the same business day
Next-day processing:
All items and requests received after 5:00 PM will be processed by 10:30 AM the following business day. Requests received after 5:00 PM on Saturday will be processed by 10:30 AM the next working day (Monday).
2-hour response time:
2-hour response time during standard business hours (Monday through Saturday, 9 AM to 6 PM CT). This means acknowledgment and confirmation of your request — actual execution time may vary depending on scope and current file activity.
Please note — “Processed”:

Client urgency:
Clients retain the right to communicate urgency if something is needed sooner than the 2-hour response standard or outside standard business hours
